JOB SUMMARY:
Under direction of Town Secretary, this position performs professional level accounting duties, including general ledger reconciliation, audit preparation, and payroll. Also responsible for the day-to-day operation of Municipal Court requiring a specialized knowledge of court operations.
MAJOR DUTIES:
- Assists the public at the counter and by phone to provide information about the procedures and
- requirements of the disposition of cases filed in the municipal court; payment of fines, court settings, time payments, deferred disposition, driving safety courses.
- Prepares letters, notices and correspondences for incoming mail and new citations entered; deferred disposition, driving safety courses, juvenile hearings.
- Prepares court dockets for preliminary hearings trials, including juror summons, notices and
- correspondence.
- Attend court sessions on scheduled court dates to provide assistance to the Judge, Prosecutor,
- attending attorneys and defendants.
- Update status on warrants; arrested, served, collection agency as well as prepare warrants for
- delinquent citations.
- Maintain court records and judgments; maintains confidentiality with regards to all court files.
- Reviews documents presented to the court for authenticity, accuracy, and appropriate judicial action.
- Calculates, collects and processes fines, fees and court costs based on judicial orders, for misdemeanor violations related to state laws and city ordinances.
- Processes administrative dismissals for customers based on standing orders issued by the Presiding Judge.
- Researches, prepares, corrects and transmits records and reports to state and outside agencies,
- including the Texas Department of Public Safety and Office of Court Administration.
- Reports cases to OMNI and MVBA
- Updates case files in the Court's case management system as contact is made with customers, judges, prosecutors, defense attorneys, witnesses and others.
- Assists judge in courtroom, monitors and attends to juror needs, and coordinates courtroom activity.
- Monitors cases for compliance, processes cases in accordance with legal requirements, and prepares documentation for judges and prosecutors, including warrant of arrest.
- Creates cases in case management system and scans any relevant information into file.
- Assists with accounting activities, including general ledger reconciliation, financial reporting, budgeting, grant reporting and auditing; reviews and analyzes various records and reports; and responds to inquiries or complaints.
- Reviews financial system reports for revenues and expenditures; and makes corrections and adjustments.
- Monitors and balances various accounts, including verifying availability of funds and classification of expenditures; researches and analyzes transactions to resolve problems.
- Provides assistance to the City's independent auditor in support of the annual and special audits; and prepares response to audit findings and resolutions.
- Resolves issues and problems related to payroll calculation or deductions, including payroll taxes, wage garnishments and child support payments.
- Reviews, balances and reconciles payroll time and attendance sheets. Reviews payroll interface with general ledger; makes corrections; and posts to account.
- Prepares relevant payroll tax reports and statements; coordinates payment of taxes; and oversees distribution of annual tax statements to employees.
- Collect, prepare and input payroll data from timekeeping system to payroll system on a weekly/bi-weekly basis. Review information for completeness and accuracy.
- Work with various department supervisors for any missed time and update payroll records
- Report all new hires and terminations in the Office of Attorney General.
- Enter new employees into the payroll system (including assigning employee numbers).
- Assist in data entry on vendor websites to enroll employees or make changes in benefit plans.
- Assist in providing requested data relating to wage earnings, personal information, and dates of employment in order to respond to a verification of employment for employers, mortgage or loan companies.
- Assist in administering city benefit programs including medical, vision, dental, and life insurance, long-term disability, retirement/457’s, optional benefits, tuition reimbursement and paid leave programs.
- Assist with benefits open enrollment period, reporting benefit changes throughout the plan year, distributing new plan materials and communicating changes to employees.
- Serves as Assistant Town Secretary and performs duties of the Town Secretary in his/her absence.
- Assists the general public by telephone and in person by providing information and answering questions related to Town operations.
- Maintains office supply inventory.
- Composes, types, edits and maintains a variety of correspondence, reports, memoranda and documents.
- Performs other duties as assigned.
